Safe Union


Welcome back to the Popp Martin Student Union!

As you return to campus, we want to provide information to you regarding the updates in process, protocol, and expectations related to the COVID-19 pandemic.

Our team has been working diligently over the past few months to review the recommended protocols and procedures for managing and maintaining a safe facility and work environment during the current pandemic. Staff from our facility team have partnered with Facilities Management in the campus-wide cleaning protocol recommendations and the space usage recommendations. We have the great benefit of having a team of professionals dedicated solely to the care of this building and we are excited to welcome you back to the Student Union.

Student Union Building Hours*

  • Fall 2020:
    • Aug. 10- Sept. 25: Monday-Friday, 7:00 AM to 9:00 PM; Saturday-Sunday: 9:00 AM to 9:00 PM 
    • Sept. 26-Dec. 18: Monday-Friday: 7:00 AM to 11:00 PM; Saturday-Sunday: 9:00 AM to 11:00 PM
  • Spring 2021:
    • Jan. 4 -  Jan. 14: Monday - Friday 7am - 7pm; Saturday - Sunday 9am - 7pm  
    • Jan. 15 - Feb. 5: Monday - Friday 7am - 9pm; Saturday - Sunday 9am - 9pm
    • Feb 6. - Feb 13: Monday - Friday: 7am - 7pm Saturday - Sunday : 9am -7pm
    • Feb. 14 - May 7: Monday - Friday 7am - 10pm; Saturday - Sunday 9am - 10pm

General Building Information and Updates

  • Masks: Masks are required while in the building unless you are alone in a private office, please adhere to all posted guidelines and signage.
  • Elevators: Elevators have a reduced capacity of 1. We encourage you to use the stairwells when possible and leave the elevators for those who need them.
  • Updated Maximum Capacity: New maximum capacities for areas are posted near entrances and/or furniture is removed to adhere to capacity guidance and physical distancing guidance.
  • Informational Signage: Around the facility, informational signage is visible utilizing the campus standard signage and recommended information. Please adhere to all posted guidelines.
  • Plexiglass Shields: Plexiglass shields are installed at high-traffic transaction locations, such as the Information Desk and Norm’s and other areas where staff will interact with the campus community.
  • "Stand Here" Floor Stickers: "Stand Here" stickers are located, in accordance with campus recommendations, in all areas where lines could form. Please adhere to all stickers and signage.
  • Hands-Free Door Openers: Hands-Free door openers are installed in all restrooms except single stall restrooms/All Gender restrooms. Single-stall restrooms do not allow for these devices.
  • Hand Sanitizer Stations: Hand sanitizer stations are located at all major entrances and other high-traffic areas within the building.
  • Cleaning Standards: The Student Union has invested in additional cleaning equipment and supplies to meet the current needs, including campus-approved electrostatic sprayers for use after the building closes or when spaces are empty. Building staff will perform increased sanitation and disinfection of high-touch points, including:
    • Elevator buttons
    • Entry doors handles
    • Restrooms handles and high touch surfaces
    • Open common area hard surfaces
  • Water Fountains: Water fountains have been turned off but the water bottle refill dispensers remain active. Refill dispensers are located on the Lower Level, First, Second, and Third floors.
  • Furniture: Indoor seating furniture and outdoor furniture has been rearranged to meet physical distancing recommendations. Staff will sanitize and disinfect furniture every day.
  • Air Quality Testing: The Student Union was tested by the Air Quality Control Team and met the standards for air flow. If you have specific concerns for your office area, please contact Morgan Meehan ( 

Meetings and Room Reservations

Due to physical distancing and cleaning measures required for our community to return safely to campus, meetings and events will be significantly impacted throughout the fall and spring semesters. Contact Conferences, Reservations and Event Services for help with reservations.

Additional information for staff who work in the Student Union

Office Suite Protocols

  • Individual staff member/department's cleaning areas of responsibilities:
    • Follow the 6 Ws when in the office suite, including wiping down surfaces after use.
    • Ensure visitors follow all campus guidelines and standards.
    • Adhere to cleaning protocols in approved campus return-to-work plan.
  • Building staff cleaning responsibilities:
    • Daily sanitation and disinfection in common areas.
    • Increased disinfection of office suite entrance door handles.
  • If applicable, reduced maximum capacities for office areas with posted capacities have been determined and posted outside of each area.
  • Within your office suite, you are responsible for identifying the need and location for "Stand Here" stickers and other signage. If you have questions or would like to consult with someone, including the placement of stickers outside of your office suite, please contact Josh Brown (
  • Offices should make every attempt to rearrange, block off, or store additional furniture within their office suite. Storage within the Student Union is limited. Please reach out to Emily Schnier ( with concerns.
  • Cleaning supplies for the first 30 days are located in each suite. Future orders should be ordered by a designated staff member through the Campus E-store. Supplies should be ordered to fulfill needs for 30 days at a time.
  • Break/work rooms:
    • New maximum capacities for areas are posted near entrances.
    • Furniture should be moved or removed to adhere to capacity guidance and space distancing guidance by each area staff. Storage within the Student Union is limited. Please reach out to Emily Schnier ( with concerns.
    • Breakroom guidelines will be posted at the entrance and staff should wipe down surfaces with disinfecting wipes after use.
    • Disinfecting wipes should be used on the printer touch screens but no spray should be used on touch screens. Washing hands after each use is recommended.

Individual Office Protocols

  • Individual staff member cleaning responsibilities:
    • Follow the 6 Ws.
    • Use disinfecting wipes on furniture or high-touch surfaces after a visitor.
    • Follow campus ITS or manufacture guidelines for cleaning of electronic equipment.
    • Adhere to cleaning protocols in approved campus return-to-work plan.
  • Building staff cleaning responsibilities:
    • Weekly office sanitizing and disinfecting in each individual office.
  • Each office will have a "Stand Here" sticker in the doorway.
  • Staff should make every attempt to rearrange, block off, or store additional furniture within their office suite. Storage within the Student Union is limited. Please reach out to Emily Schnier ( with concerns.

Loading Dock Protocols

  • Updated Loading Dock Map.
  • GEM cart work request:
    • Loading Dock staff will disinfect GEM carts once a day during operating hours.
    • Disinfecting wipes will be in the place in GEM carts for staff to wipe touch after staff use.
  • Package Delivery: Loading Dock will email upon package delivery and signature will be required for package transfer. The two options available are: 
    • Schedule a pickup at Loading Dock desk.
    • Schedule a time for delivery at the Information Desk.


We continue to review and update our protocols as new information becomes available from the World Health Organization, Center for Disease Control, and campus leadership. We will continue to engage with campus departments, such as Facilities Management and Environmental Health & Safety, to ensure we are meeting and exceeding our shared expectations during this time.

Keeping Niner Nation safe and healthy takes every single one of us doing our part, together. Please be mindful to protect yourself, your fellow students and the rest of Niner Nation by following six simple steps — the 6 Ws. 

  • Wash — Your hands for 20 seconds with soap and water. 

  • Wear — A face covering any time you are around other people. 

  • Wait — Six feet away from other people at all times.

  • Wipe — Your workstation, equipment and other high-touch surfaces frequently with a sanitizing wipe. Don’t forget your cell phone!

  • Watch — Your health. Stay home if you are sick. Cover your sneezes and cough with your elbow or a tissue.

  • Wave — To greet colleagues and students or consider a pick axe sign. Avoid handshakes.
